File Data Storage Capacity: User Awareness Reduces Risk

File Data Management - Image

Users with unlimited file data storage capacity really don’t understand the impact they have on the network. They see a network as a place for storing any number of files, including personal ones. In fact, it’s not unusual for an administrator to find all kinds of file data on network resources, including MP3, MOV, or even Torrent files. These personal files eat away at your primary storage space and increase the risk of an outage. But did you know that you can leverage user quotas to create awareness and educate users about the risks associated with poor file storage management?

Most Users Don’t Need to Store Media

Notice, we used the word “most,” since there are still some legitimate reasons to store media. Your marketing department might need to store audio and video files. Software developers need to compile code to executables. These files quickly eat away at storage resources, though. The ability to store these files on network storage should be limited to only those who need it, and even then, storage usage should be controlled.

The biggest risk with these files is copyright infringement and spreading viruses across the network. It takes just one executable to traverse the network before you’re stuck with a massive attack on resources.

File blocking policies eliminate this problem and reduce the risk of junk files that should never be stored on corporate storage.

Reduce Risk through User Awareness

With DefendX Software QFS, you can create file blocking and user quotas that stop network storage abuse. NTP Software QFS uses EUSI (End User Support Infrastructure), which means that users are empowered to manage their space better. Because when you build user awareness, you can better manage your file data storage capacity.

Our strategy empowers users, but still allows administrators to block files that have no business value or relevance. User quotas can be set to either a “soft” or “hard” setting. Soft user quotas allow your users to store files even when they go over their storage limits, but send a notification that storage space has been exhausted.  Hard limits restrict users from going over their limits. The system actively blocks users from storing files when they attempt to add more files that exceed their limit, and a message is sent to the user to alert them that they need to take action.

With better user awareness, users can clean their storage space regularly. This alleviates some overhead for the administrator and reduces risk such as storing large, unneeded files on the network.  It can also help with file data storage capacity.

Another advantage of DefendX Software QFS is that there is no large additional cost. Usage policies reduce the file data that gets moved, and it even reduces the cost associated with data moves such as bandwidth requirements.

DefendX Software QFS is a real-time control of unstructured data files and users. It helps you build user awareness across the network. It’s platform independent, so you can organize your data files and storage with an appliance that plugs in with little effort.
